Privacy when using church provided zoom account

Post by andigjoligu »

I am the stake technology specialist. I would like to receive some guidance on the following concern presented by one of the units.

I wanted to get your thoughts on zoom account access. Since neither the bishop nor I are administrators (therefore do not have access to user administration), I think the only way to allow seminary and quorum/auxiliary access is to share with them the username and password. But in doing so it means that everyone provided access has full view of all meetings set up, including bishopric interviews, tithing settlement, etc, and could also change the password.

I think for the ward leaders to take full advantage they will need access, but in doing so we may compromise confidentiality. Any direction on this from the stake?

Not direction, but simply what others in the forum have come up with:

The person with the login credentials schedules the meetings. The "Host Key" is shared with the various quorums and auxiliaries. When the leader joins the meeting, they use the Host Key to take control. There's a few settings in the meetings have to be set to allow this, such as joining the meeting before the host.

Please keep in mind that you're only allowed two meetings at the same time. You'll probably want to make use of breakout rooms. Also, you need to think about the families. Not all of them have enough devices, bandwidth or living space to have simultaneous meetings for everyone. Someone posted about having EQ and RS at different times as some older couples only have one computer.
