Scheduling App

#1

Post by jerrobertson »

When there are large numbers of appointments to be done (e.g. tithing settlement), I'd like to start by sending out an email with a link where members can pick an appointment time. It would be preferred if members only see open spots, and can't see who has signed up in other spots (so I'd rather not send around a shared Google spreadsheet).
  • I could build a Google Form and use an addon that removes options as they are chosen (but those addons require an insane level of permissions).
  • I could use the free tier of a shceduling app such as simplybook.me (as long as I'm not uploading member data--if the member enters their own name and chooses an open time slot I think that would be fine).
  • Other ideas?
Is something along those lines permitted? Has anyone done anything like that?

Thanks!

There is prohibition to storing membership data outside of church systems, but I don't think that applies to a simple blank calendar where members put their OWN information on it. Keep in mind you will need a backup plan for those who cannot/will not use such a system. It would be a shame to disenfranchise members who cannot or will not use an internet solution.

Tithing settlement and other appointments can be sensitive and you may get push-back from members who are concerned about their sign-up being private. There are posts in these forums regarding members complaining they can see their own birth-date in member tools and think everyone else can see it too, even though they cannot.

Fully agreed, especially on not disenfranchising others. I'm considering this as an initial effort to get the first third scheduled as quickly and easily as possible, not as the final solution.

Our ward has setup up a schedule and emailed/posted it and asked the members to come at that time or find someone to trade with if the assigned time doesn't work for them. It seems to have worked rather well for us.
