Stake Activities on Ward Calendar

A new ward LUWS administrator contacted me about how to get stake activities on the ward calendar. I told her that stake as well as Church activities appeared color coded on the ward calendar. She was perplexed because she wasn't seeing the stake activities. :confused:

As it turns out, she was viewing the ward calendar from the administrator page. In this state, Church and ward activities appear, but stake activities do not. When she closed the administrator calendar page and viewed the calendar as a member, all Church, stake and ward activities appeared.

As the stake administrator, I verified this is the case by opening my home ward's calendar in administrator mode. Much to my surprise I found that Church and ward activities are shown, but stake activities are not. It seems to me the ward administrator should be able to see all items on the calendar while in administrator mode.

I have to disagree. The ward administrator site is for manipulating ward calendars. Having Stake and Church items on the ward administrator's working calendar would make for many more problems. For example, the ward administrator would be confused when he/she could not edit them.

I agree. I had noticed a long time ago that stake events do not show up on a ward's calender in admin mode, but I didn't notice that Church events do show up. That does seem to be inconsistent.

It's nice to see Church events on the admin calendar. They even have links so that you can see the details (but of course a ward admin can't edit them). For all the reasons Church events are helpful, stake events would be even more helpful.

I suppose there is the danger that all those stake events would clutter the interface and make it hard for the ward admin to focus on just the ward events. I would suggest that this could be solved by adding a check box for an option like "Show only ward events". Then the admin could easily toggle between seeing only ward events, and seeing those events in the context of the stake and Church calendar.

Note that JLRose mentioned that Church items are already there, so the issue you are concerned about (if it is indeed a problem) is already there. It's limited to Church events and not stake events, but it does already work this way.

How about the confusion that occurs when an administrator is trying to ensure there is no conflict with a stake activity. Without stake events displayed on the ward administrator's calendar page it makes it more challenging to deconflict with stake events.

I agree with JLRose that having those stake events that are displayed on the blue ward calendar solves more problems than it could possibly create. A ward administrator needs to have all the pertinent information affecting their approval/disapproval decisions readily available.

As a stake administrator I appreciate having Church events displayed on the stake administrator calendar for planning and deconfliction.

Also note that the stake administrator has an option to choose ward and branch calendar(s) to display an event on. Therefore only stake events significant to any particular ward or branch will be displayed on the blue ward/branch calendar.

I just found a very similar thread from a year ago: Stake Events do not appear on Administrator Calendar. So it has been noted before (but the limitation still exists).

My solution for this problem is I leave up my blue screens after my green screens pop up. Then, if I need to check the calendar or anything else, I navigate in the blue screens to find what I need. That method works great for me.
