I think this goes back to GHB 0.4 - ask your priesthood authority.

But personally, entering anyone's personal information into a non-church on-line computer system without their permission is sticking your neck out.

If a church system gets compromised (perhaps though a leader's computer), that's "big church's" problem. But if a Google Sheet gets compromised - that becomes your problem.
Have you searched the Help Center? Try doing a Google search and adding "site:churchofjesuschrist.org/help" to the search criteria.
