Asst Stake Clerk and Stake Scheduler unable to edit calendar events

I am an assistant stake clerk and also assigned as the stake building scheduler. We have three buildings in the stake. I cannot edit events on any calendar except for that of my own ward. I can create events for a building other than my own, but after creation, I can no longer edit the event. Is there a Master Calendar Admin that can function across the stake in an authoritative manner? I'm finding I cannot yet act sufficiently in my calling as the gatekeeper for the calendar across the stake.

No. The old model of one "gatekeeper" for scheduling a building (or even the whole stake) is no longer supported. At a minimum, each unit is expected to do their own scheduling within the guidelines set by the stake and the restrictions placed on the building by the Building Scheduler.

The old method was necessary when all scheduling was done on paper (as there could be only one authoritative up-to-date copy) but is not longer needed now that it's all on-line and accessed with logins attached to callings.

A building scheduler can edit any existing events taking place at his/her building, but cannot place events on a ward calendar.

As an assistant stake clerk, you should have access to place events on the stake calendar and make yourself a building scheduler for each of the buildings, but that's as far as you can go. I'm not sure why you can only do events for your own ward - it sounds like you've been set up in your ward calendar. Perhaps as an assistant ward clerk.

Many people think that Building Scheduler is a calling that grants calendar privileges. They don't know that a calendar administrator must specifically set up a building scheduler within the calendar system. Even calendar administrators don't have the privileges of a building scheduler unless they set themselves up to be one.

Just to be clear, a Building Scheduler only has rights over the building, not the unit calendars. They can edit existing events. They can even place events on the building calendar. But they can't place events on the ward/stake calendar where members can see it.

Personally, I think the calling should be renamed to Building Scheduler Supervisor. They get involved to fix problems, but they stay out of day-to-day scheduling.

Thank you so much for your immediate responses. Our previous Stake Building scheduler created all of the standard ward events such as Youth nights for all units in the Stake. As a calendar admin, I can add myself as an admin by name, but I cannot see where to change the rights associated with a calendar admin. Is there likely a FAQ or something somewhere I'm missing with details on changing calendar rights? As we try to drive more stake and ward members to use the Church calendar instead of making external calendars, these are the stumbling blocks. Perhaps we are missing the point of the calendar in the way we are trying to use it.

OK, I've followed the clues. As a Calendar Admin, I can Manage Calendars. I needed to add my calling as Stake Assistant Clerk to have edit rights to each and every calendar. I also see that there are between several and a dozen individuals added as calendar editors who aren't even in the Stake anymore. As an IT Manager in my day job, I cannot leave that be so I'm going to redo all of the Stake calendar editors by calling. I'd LOVE to be able to audit the Ward level Unit calendars. Does anyone know of a way to do that short of briefly moving my records between all of the wards in the Stake? :)

That's curious. If the membership record has moved, I'd expect them to disappear. However, it may take visiting that page it make it happen.

It is best if people are added by calling, but what you'll find is that the calling has to be within the same "domain" as the calendar. (Stake callings for stake calendar, ward callings for ward calendars.) That might be why some were added by name.

There's always out-of-unit member, but that's about as complicated and doesn't feel right.

The stake clerk is in charge of training the ward clerks. I'd discuss with the stake presidency if a similar principle could apply to calendar admins. Park the ward calendar admin down in front of the computer and do a little over-the-shoulder training. More hassle up front, but should stay cleaner longer. The bottom line is the stake doesn't have direct authority over the ward calendars, so it's probably in your long term interest to get them trained.
