I ran into an interesting new challenge this week. As the stake technology specialist I "own" all of the 13 Zoom accounts used by the wards and branches and our stake. Two days ago I started receiving security codes from Zoom for various units because Zoom "detected an unusual sign-in from a device or location [they] don't normally use". The codes expire in 10 minutes.
I receive all of the messages because the accounts were set up with the stake gmail account and +ward/branch addresses. This seemed like a good idea at the time, but it appears an account cannot be set up that way any longer.
In the meantime, I get all of the security codes and know which unit they came from, but I have no idea who in the unit is trying to sign in from a new device. Even if the unit controlled the email for the account, they probably would not be able to determine who did it either since it is quite common for a Relief Society president or an elders quorum president to set up Zoom meetings for their own organizations.
For now, I am asking everyone to notify me when they need a code. If I notice and can retrieve the code fast enough (less than 10 minutes), they will succeed. If not, they will need to make another attempt while I am watching. This will be painful.
We are seriously considering having each unit set up their own email account and changing their Zoom account from the stake generated email to their own. Even so, they will still have challenges with this new system. But at least the clerk or executive secretary monitoring their email account will be more familiar with the people involved.
Fortunately (so far) this only happens when an unrecognized device tries to sign in to the Zoom account It does not happen every time. But I could see that happening in the future.
Of course, if anyone has a better idea . . .

We have 4 recurring anytime meetings set for each zoom account.
We encourage members of the ward council to join the meeting from their personal account and then use the host key to claim that role, instead of having to sign in to the host account directly.
Seems to work well.
