Feature Request: Ward Council Comments

Every ward council I have been in, we have tried to keep a shared Google spreadsheet with each member’s names and info and leave dated comments about visits, invitations, ministering needs, refusals to visit, etc. so that we could all stay in the loop.

However, this list is constantly becoming out of date because families are always moving in and out.

Might it be possible to have a feature in Leader resources or LDS Tools where only members of ward council are able to view and leave comments from current and previous ward council members about a family or individual? These comments would obviously be silently attached and not viewable by anyone except those in the ward council. These comments would be time stamped and would follow the member to each future ward they attend so that future ward councils would be aware of specific needs or circumstances that may be necessary to be aware of to better serve those individuals.

This would alleviate the need to keep an external shared spreadsheet up-to-date and allow the comments to stay with the family and help those leaders be made better aware.

Because this is a user-to-user discussion forum, nobody here can do anything with your suggestion. If a very large number of members made the suggestion via the Feedback button/link, there's a chance it might be considered. If enough bishops and stake presidents sent the suggestion up through the ecclesiastical chain of command, there's a little better chance it might be considered.

It's not entirely unheard of for the mailing address field in the member's record to be used for a short note of the kind you are referring to.

Just a personal interpretation, but even though the current handbook is less specific than the older editions, depending on how one reads the handbook and relevant instructions, it is arguable prohibited to store members' names and contact information in a shared Google spreadsheet.

I think there's legal reasons why the church don't have any "free form" comment area. It creates a level of liability for "big church" if they create and managed the area.

As far as the Google docs, from Use of Online Resources in Church Callings:
Be careful not to share documents in these systems that contain confidential or sensitive matters.
Personally, I doubt if we'll see any free form notes in any church system.
Have you searched the Help Center? Try doing a Google search and adding "site:churchofjesuschrist.org/help" to the search criteria.
