Out of Unit Members

I am in an assistant stake clerk in a student ward and we have a lot of stake leadership that are out of unit members. I was just wondering if someone could direct me to best practices on adding them to MLS so that they will show up in reports, etc.

EDIT: But perhaps not. You said you were in a student "ward" but then I see you are asking about "stake" leadership. So it seems the issue is more of what to do about people who serve in stake leadership positions but are not actually connected to a particular ward. That's a bit trickier, since that would probably require you to add these outside people to a particular ward's MLS (and LUWS).

Alan's edit comments are correct. For a situation in which members are called to stake positions in another stake not their home stake they would need to be entered in a ward/branch using the out of unit record procedures to be available in the stake MLS for stake positions. The only stake positions that require special handling are the tier 1 positions since they are not entered locally into MLS but rather by means of the LUCR (local unit change request) form. Additionally a bishop or branch president must be submitted using a LUCR by the stake to be updated in MLS.

Once a member is entered into MLS using the out of unit record procedures they are available within MLS the same manner as other members are for the purposes of callings, reports, etc.

Currently, the LUWS requires members entered in MLS as an out of unit record to be added as non-resident members within the LUWS to be available for positions within the LUWS.

General Practices for the Student Single Stakes:

Tier 1 callings: Stake Presidency, Stake Clerk, Stake Executive Secretary, Patriarch, Bishops

New Bishops need to be added to the Stake MLS (basically the same step as adding any stake leaders as out-of-unit). Every other out-of-unit member for the ward are entered on the ward unit MLS (for my stake it's the councilors, and Ward Clerks). We also add the Bishop on the Ward MLS to make sure his assignments are listed and to get the mls account setup.

Bishops can then be selected from the unit change menu and you can select the name from the Stake database. This should update it on the CDOL. (Goes for the Stake Presidency as well). Be sure to assign the Bishop on the Ward MLS as well, since the stake info will not transfer to the Ward MLS.

Rest of the Stake callings (tier 2) are added with normal out-of-unit records. We usually have them bring in a copy of their home ward member record IOS and just copy that into the MLS.

Some issues we've experienced is the callings list is very inconsistent in getting updated to the Stake MLS. Right now we know we have all the out-of-unit callings filled in our Wards but only a small percentage show up in the Ward Callings report. Though as long as they are appearing in the CDOL, I'm not too worried about it.
