The online Church Directory of Organizations and Leaders (CDOL) provides authorized priesthood leaders and clerks with information on Church units and other organizations within the Church, including contact information for their leaders. CDOL is available to:
* General Authorities
* Church headquarters managers and employees based on their assigned responsibilities
* Area administration office managers and employees based on their assigned responsibilities
* Local priesthood leaders worldwide

Capabilities
CDOL allows leaders to:
* Look up leaders of other units, including contact information
* See the organizational structure of units. For example, a stake would have links to the wards and branches within the stake and any family history centers in the stake, as well as larger entities that include the stake, such as areas, welfare regions, temple districts, etc.
* Access a Unit Locator to find what ward and stake contains a given street address
* View current unit boundary maps. (Currently for Stake and District positions)
* Find how to contact any Church department
* Create a customized directory
* Perform searches for organizations or leaders using multiple search criteria
* Save searches
* See the current local time for units
* See all Standard Positions for units in the user's ward and stake
** This is currently available to bishops and branch presidents, stake and district presidencies and stake and district clerks.

Accessing CDOL
This online CDOL uses LDS Account credentials and is located at https://cdol.lds.org. If you do not have an LDS Account, you will need to create one the first time you visit the website. This can be done by clicking the link "Register for an LDS Account."

Authorized users
User privileges are based on the nature of the assignment (such as Stake President, Bishop, Ward Clerk, Church Employee, etc.). In most cases, users have only search and view capabilities. Adding and editing rights are limited to users in specific positions, such as managers and employees at Church Headquarters and Area Administration Offices.

To have access, users must be listed in the correct standard position in CDOL and have an LDS Account. People with these callings will be listed in CDOL if they have been added using the appropriate Leader and Unit Change Request form or are properly listed in MLS using the standardized callings.

The following positions have been approved for access:
style="background:#f0f0f0;"|Stake
style="background:#f0f0f0;"|Ward
Stake President||Bishop
Stake Presidency Counselors||Bishopric Counselors
Stake Clerk and Assistant Clerks||Ward Clerk
Stake Executive Secretary and Assistant Executive Secretary||Executive Secretary
style="background:#f0f0f0;"|District
style="background:#f0f0f0;"|Branch
District President||Branch President
District Presidency Counselors||Branch Presidency Counselors
District Clerk and Assistant Clerks||Branch Clerk
District Executive Secretary and Assistant Executive Secretary||Branch Executive Secretary

The above positions have the following rights:
* View all public non sensitive data.
* Edit contact information for their positions.
* View all Church standard positions for their units.
* Stake/District positions can view all standard positions on their child units.
* Ward/Branch positions can view all standard positions for their Stake/District.
* View current unit boundary maps.

Family History Center directors
FHC directors can access CDOL, but can only view the following organizations: Family History Center, Family History Service Center, Family History Training Center, and Family History Center - Public Library.

Alternative for those without access
Some members (such as assistant ward clerks) might need to look up bishops of other wards (e.g., to communicate regarding payments for a missionary whose family changed wards). Although access to CDOL would be helpful, under current policy it is only permitted for those listed above.

One way to look up a bishop is to use the Meetinghouse Locator. Entering a member's new address will display the assigned congregation. Clicking on that congregation's link will display a popup over the map that includes the bishop's last name and a phone number.

For moving membership records, it is helpful to have the ward and stake unit numbers and names for the member's new address. The popup from maps.lds.org described above will have a link labeled "Go to Website" (assuming the new stake participates in the Local Unit Website program, which most do). Following that link will take you to the ward's home page. If you look closely at the URL for that page, it will end in "-nnnnnn,00.html"; the "nnnnnn" is the unit number for the ward. Similarly, if you then follow the "Stake Home" link from the ward's home page, you will be taken to the stake's home page, where you can examine the URL to obtain the stake's unit number.

CDOL <-> MLS processing
; General Process
: Clerk enters or changes position(s) in MLS.
: Clerk performs a MLS Send/Receive.
: CDOL processes data (usually within one hour of receiving, but Sundays may be several hours).
: For Wards/Branches - CDOL sends the positions to the Stake/District.
: For Stakes/Districts - CDOL sends the positions to all the child units.
; Positions which show on the CDOL summary (Stake Clerks, Assistant Stake Clerks, Executive Secretary).
: (All of the General Process applies)
: These are verified by a user at Church Headquarters before the change is shown on the summary page and sent back to units.
; Positions requiring Headquarters approval (Stake Presidency, Bishop).
: (All of the Positions which show on the CDOL summary applies)
: CDOL ensures that the correct approval has been granted before allowing verification.
: For new Stake Presidents this means confirming with the paperwork returned by the visiting General Authority.
: These position changes are done from the Stake’s MLS through the Leader and Unit Change Request.

Supported Languages
The Church Directory of Organizations and Leaders will be translated into a total of 41 languages. Currently over 80% are translated.

Released Languages
The new version of CDOL is currently available in the following languages. Please note that languages are viewed based on the user's browser setting. If the user's browser is set to Spanish (es) then the user will see CDOL screen text in Spanish.
Historical
The CDOL has been published in a variety of formats:
* Originally, the CDOL was published in book form.
* Later it was published on CDs that were sent to local units. The last update on CD was distributed in March 2007.
* The first online version of CDOL was created at http://col.ldschurch.org. This website used NetID login credentials. As of 31 December 2008 this site ceased being promoted; in August 2009 it was discontinued and now simply directs users to register for an LDS Account and then use the new site at http://cdol.lds.org.
* The current version of CDOL was announced in a letter dated 18 December 2008.
CDOL uses your default Internet browser (such as Firefox, Internet Explorer, Safari, etc.). To access CDOL:
# Enter the following URL (https://cdol.lds.org).
# Enter your LDS Account User name and Password.
# Click the I agree, Sign-in button.

The main requirements for accessing and using CDOL are that you are in a position that has been approved for CDOL access. In general, CDOL is limited to people in these five groups:
# General Autorities
# Church Headquarters personnel in positions requiring access
# Area Administration personnel in positions requiring access
# Local Priesthood leaders in specific callings
# Church managers and employees worldwide working in positions requiring access
See Availability for more specific details.

In general, you can navigate in CDOL the same way you navigate in other Web-based programs. However, when using CDOL, do not use the back or forward buttons in your Web browser. Use the navigation tools provided within CDOL.

CDOL is based on individual Web pages. Each time you click on a link, you move to a new Web page.

CDOL uses an Internet-standard mouse-over to highlight links instead of underlining them on a Web page. As you move the mouse over a link, an action such as a dropdown window opening or a color change occurs.

Petersenga: Removed tables to match MLS FAQ page

The following questions are those most frequently asked about CDOL and its operations. They should help you in your initial troubleshooting efforts.
If you encounter problems that are not addressed here, click the Feedback link on the main CDOL screen and describe the nature of your problem.

General CDOL Navigation
Why does using the Internet browser’s back button cause problems in CDOL?
When you go to a CDOL page, large amounts of data are loaded on the page and its tabs. When you use the browser’s back button, many of the data elements are not currently active and may not reload. You therefore see erroneous data on the screen. To be safe, always use the links within CDOL to navigate.

Organizations
Why is it important to add contact information before I make an assignment active?
Once a position becomes active and the information is verified, many departments of the Church receive this information. They are affected if there is a lack of contact information. Financial accounts, missionary recommendation, and system mail are some examples of systems that need this information to be present.

What is the difference between organizational e-mail and personal e-mail?
Organizational e-mail stays with the life of the organization. Domestically, any unit that receives financial statements will use organizational e-mail to receive official statements. All organizational e-mail must be on Church-hosted e-mail services to avoid conflict of ownership of the e-mail content.

What in CDOL has changed about organization names?
Formerly, the organization type was appended to the name. For instance, the name Crescent 14th was of the type “ward.” In order to avoid confusion and allow for ease in localizing the name, the name is now “Crescent 14th Ward” and still has the type of “ward.”

CDOL now also allows the user to enter a localized name and address for all units.

How do localized names get into the CDOL database?
The localized names for all units in the AOCDS database will be imported into the new CDOL database structure. You can also add localized names as you use the system. They will then flow back into the AOCDS table structure and CMIS.

Leaders
What if I find something wrong with the historical leadership information listed for a unit?
Historical leadership was entered from a variety of sources. Sometimes historical leadership information was incomplete or had conflicting information. Historical leadership data correction and additional information are encouraged. Please send your suggestions through the feedback link in CDOL or send an e-mail to oiservices@ldschurch.org.

When I am putting a person into a position in CDOL, why can’t I search and find the person by name? Why do I have to use the person’s membership number?
In order to provide data privacy for the members of the Church, a search by name was not possible. Please search by the membership number.

What are “acting leader” positions, and when are they used in CDOL?
The First Presidency’s Office has instructed MSR Church Organization Services to use acting leader positions only in active units as short-term solutions when a leader is actively being considered. To comply with these instructions, the MSR staff at Church headquarters is responsible for entering all acting leader information in CDOL after determining that the request meets these new guidelines. The MSR staff at Church headquarters will also closely monitor all acting leader positions in CDOL and will follow up with MSR managers as needed.

An “acting leader” position is used for cases where the leader has passed away, moved, or can no longer lead the unit. For example, in an “acting ward leader” position the stake president usually appoints a high councilor or himself to take care of the unit. The original bishop is left in the calling and his counselors continue to function, but in CDOL the primary-contact star is removed from the bishop’s name and put on the acting bishop’s name.

The “acting ward leader” position is not used when a bishop is called to the stake presidency in some capacity. He remains as bishop until the stake president recommends and receives First Presidency approval for a new bishop to fill the position.

The “acting branch leader” is used in cases where a missionary is serving in a branch president’s position while on a mission. An “acting branch leader” position filled by a missionary does not require a setting apart date or the day he actively begins serving. In CDOL, if the name of the missionary is not available, the mission president is normally entered in the position, although it can be filled by a district president.

Permissions
How do I give a person access or different rights in the CDOL system?
Access to the CDOL system is largely determined by the position that an individual occupies in the system. As an individual’s position in the system changes, it will automatically grant or remove access privileges. As a new person is assigned to a position, the correct CDOL rights are automatically granted.

There are also some rights that are assigned to individuals.

Why can’t I update directory information for missions?
The Missionary Department is the data steward for missions and has the responsibility to edit and maintain all mission information. Any requests for changes related to missions should be brought to the attention of the Missionary Department at Church headquarters.

One of my personal directories disappeared. Why?
Your rights have changed and you no longer have access to view that information.

Why can’t I add a bishop or stake presidency counselor to a ward or stake?
Approval for bishops and stake presidency counselors is granted by the First Presidency. If you try to put in an individual into one of these callings and they are not listed as approved to serve in that unit, the system will prevent the data entry and ask that you contact your Area Office or the Office of the First Presidency to resolve the matter.

How do I assign someone to verification duty?
All verification rights are assigned by headquarters. The local MSR manager submits the names of individuals to Jana H. Nytch (Church Organization Services) at Church headquarters to get the proper rights assigned.

Verifications
What does the message “Unpublished Changes” mean on the organization summary screen?
Whenever changes are made to an organization or any of its assignments, staff members verify that the changes are correct and make adjustments as necessary. These changes will not show up on the summary screen until this verification has occurred.

When I type information into CDOL, why doesn’t it immediately show up in CDOL?
In order to maintain the highest data quality possible, all changes made to designated organizations require verification after the original data entry. The responsibility to verify data is assigned to designated individuals.

Once the information is verified, it is published into the database views.

Management assigns verification duties. Please check with your management to see who has this duty.

What are business rules?
Business rules control publication of data. All required information must be present to publish. This information will be displayed on the edit screens and verification screens to inform the user of needed tasks.

Known Issues
The following known issues may affect some CDOL users:<br/>
Items in italics are new in this release.<br/>
Items with <s> strike-through </s> have been resolved.

General Users
Searches
* CDOL-4336: Users viewing the Public Searches are able to edit them and save their changes to the Public Search they are viewing making it so others will see their search the next time it is run.
* <s>Share search link on search results throws error.</s>
* <s>If a user had saved an Advanced Search that uses the "Active as of" date field, the user needs to edit the search and re-save it in order to resolve a problem that caused the search to query correctly only the first time it was run.</s>
** Note: the issue has been fixed, but any saved searches using date field will need to be edited and resaved to correct the problem.
* <s>The Materials Languages pick list in Advanced Search under Organization Language does not display all the language choices that are in the database for units with populated material language.</s>
* <s>Characters with diacritics sort after other characters in search results.</s>
* CDOL-4039: The Advanced Search screen in IE7 does not display the political location information correctly
* CDOL-4435: The functionality "show 50 results", "show 100 results" does not automatically refresh the page when selected.

Browsers
* In Internet Explorer, Advanced Search selections are not placed to the right of the box.
* In Internet Explorer 7, trying to save or load a page often gets stuck.
* CDOL-4664: In Internet Explorer 8, the calendar link doesn't open on Organization Edit|History|Add Note.
* CDOL-4665: In Safari 4, expanding a position on the Organization summary page superimposes text rather than moving it down.
* CDOL-4808: Internet Explorer 8 can appear to "hang" leaving the current page obscured.

Export
* CDOL-4614: Discontinued and private organizations don't get included in the export when the user has rights to see them.

Printed Directories
* <s>Printed directories do not show the full name of a leader.</s>
* <s>CDOL-4795: A three-level Printed Directory is not displayed correctly.</s>
* CDOL-4794: "Use local names" in Printed Directories puts the organizations in the report twice; once with the local name and the other with the official name.

Other
* Sometimes the published version of a record is missing.
* <s>The order of the address types listed on the Organization and Leader Summary pages is not standardized.</s>
* <s>CDOL-2720: Cannot copy e-mail list addresses to the clipboard.</s>
* CDOL-4662: Using "Clear Address" button does not reset the Country field on the Organization Edit|Address and Leader Edit|Address.
* CDOL-4616: Some position type names don't fit well on the Organization Summary|Show All Positions page.

Administrative Users
Organization Edit
* CDOL-4717:Error adding address that is copied from org if org missing state selection
* CDOL-4808: In Internet Explorer 8, making and change and clicking Save results in rendering the application unresponsive.
* <s>CDOL-4805: The font size for the edit screens appears too small.</s>

Letters and Certificates
* <s>CDOL letters have a problem processing through e-mail.</s>
* <s>Certificates and Letters do not clear out off the "to be printed" list once they have been processed.</s>

Proposals
* CDOL-4433: Proposal Mission template does not add new unit number in footer.
* <s>CDOL-4204: Cannot edit Proposal Note, always get kicked out to the HTML home page.</s>
* CDOL-4160: Implementations from Proposals do not update legacy names.
* CDOL-4652: On the proposal dashboard, after you perform an action, the checkboxes show as unselected, but additional actions affect the originally selected proposals also.
** The workaround for this is to click on the Proposals tab to reload the page.
* CDOL-4691: Fix all template formatting issues
* CDOL-4558: Large proposals time out when implementing events
* CDOL-4792: IE-only - creating new agenda from dashboard gives a corrupted page
* CDOL-4055: IE-only - edit box is only 5 lines long

Verifications
* CDOL-4361: Discrepancy between the release date appearing in Verification for a leader sent from MLS as opposed to the assignment record for the leader.
* CDOL-4555: Discontinue a unit with a future effective date puts the unit in a partial published state and never updates the status or sends the unit to verification.
* CDOL-3983: The number of items awaiting verification changes randomly.
* <s>Units that don’t have changes (such as the parent unit when changes are to a child unit) show up in Verification.</s>
* CDOL-4285: Verification, override for patriarch position is automatic when the record is touched.

Other
* <s>Cannot add scope to LOCATION role types when assigning these types of roles to users.</s>
* CDOL-4360: Some leaders are randomly set to sensitive status.
* CDOL-4337: Units that are in a country that has the CDOL attribute Sensitive set to true for the country do not inherit the sensitivity.
* CDOL-4780: Modifying countries sometimes results in a saving modal that never completes
* CDOL-4224: Admin/positions - cancel does not work
New Features and Changes
General Enhancements (Affects All Users)
*A user preferences page has been added (see My Account up by the logout link). This lets users control the default settings for their home page and which sections expand automatically on an organization's main page.
*A user is automatically redirected to the sign-in page when the user's session times-out resulting in reduced confusion.
*Users are notified on the sign-in page when they are using a browser which is not supported by CDOL. Users are also informed which browsers work best with CDOL.
*The Church's logo on the sign-in page now links properly to LDS.org.
*The date a printed directory is generated is now printed on the directory.
*Users using the Advanced Search are now able to show hierarchical relationships when grouped by Church location.
*Search results can now be printed in an user-friendly format for all searches as well as exported to a spreadsheet.
*Date formats are now consistent throughout the application (in the D MMM YYYY format).
*The label "ext" is now added to phone number fields which contain an extension.
*The order in which contact information appears on summary screens is now standardized (alphabetically).
*In Advanced Search when searching by location (country) a user now has the option of using the location specified in the organization's address country field, or by the official primary location stored for the organization.
*Deep links now work after logging in. (If you try to go to a bookmark for example and aren't signed in, you get the sign in page, and after signing in go directly to the bookmarked page)
*Custom Positions now show on the Show all positions page.

Web Service Change
*Family History is now able to consume FH data stored in CDOL custom fields through the CDOL web service.

Language Support
*No new languages were added with this release. See the Pending Translation section for the list of unreleased languages.

Resolved Issues
General
*Fixed error message problem appearing in Safari.
*In general, error messages are now readable.
*Fixed the "system hanging" problem caused when making a printed directory when a search on position is performed rather than on organization.
*Fixed the duplicate entries sometimes occurring when exporting data to a spreadsheet.

Printed Directories
*The help link to describe primary contact and key positions now has information appearing.
*Printed directories no longer shows duplicate leader phone numbers.
*Printed directories now show the correct CDOL version printed at the bottom.
*In IE7 fixed problem where tabs were shortened.

Other
*Fixed the field label formatting on several screens so they are consistent.

Administrative Users
*Provided a way to limit scope functionality to include associations that don't walk the chain up or down (but side to side). MSR Office users can now have the role assigned to the position instead of the user.
*If a leader's active date is sent from MLS as 5 Apr 1830 it no longer appears on the organization and assignment summary pages.
*Feedback is now handled through Allegiance instead of Remedy.
*Proposal History information is now available for MIC to consume so GSC metrics can be produced.
*Admin users now have the ability to mark an Organization's history complete.
*Proposal attachments now support the Keyhole Markup Language (KLM/KMZ) file type attachments. However, they do not print as part of the agenda--only PDF files do.
*In Verification the name of the person tied to a MRN is now shown to reduce confusion when a user types a new preferred name for another MRN.
*Emailing letters to leader now works correctly (emails are sent).
*The "lock sensitivity" check box now works correctly in IE7.

The following questions are those most frequently asked about CDOL and its operations. They should help you in your initial troubleshooting efforts.
If you encounter problems that are not addressed here, click the Feedback link on the main CDOL screen and describe the nature of your problem.

General CDOL Navigation
style="background:#f0f0f0;"|Question
style="background:#f0f0f0;"|Answer
Why does using the Internet browser’s back button cause problems in CDOL?||When you go to a CDOL page, large amounts of data are loaded on the page and its tabs. When you use the browser’s back button, many of the data elements are not currently active and may not reload. You therefore see erroneous data on the screen. To be safe, always use the links within CDOL to navigate.

Organizations
style="background:#f0f0f0;"|Question
style="background:#f0f0f0;"|Answer
Why is it important to add contact information before I make an assignment active?||Once a position becomes active and the information is verified, many departments of the Church receive this information. They are affected if there is a lack of contact information. Financial accounts, missionary recommendation, and system mail are some examples of systems that need this information to be present.
What is the difference between organizational e-mail and personal e-mail?||Organizational e-mail stays with the life of the organization. Domestically, any unit that receives financial statements will use organizational e-mail to receive official statements. All organizational e-mail must be on Church-hosted e-mail services to avoid conflict of ownership of the e-mail content.
What in CDOL has changed about organization names?||Formerly, the organization type was appended to the name. For instance, the name Crescent 14th was of the type “ward.” In order to avoid confusion and allow for ease in localizing the name, the name is now “Crescent 14th Ward” and still has the type of “ward.”

CDOL now also allows the user to enter a localized name and address for all units.
How do localized names get into the CDOL database?||The localized names for all units in the AOCDS database will be imported into the new CDOL database structure. You can also add localized names as you use the system. They will then flow back into the AOCDS table structure and CMIS.

Leaders
style="background:#f0f0f0;"|Question
style="background:#f0f0f0;"|Answer
What if I find something wrong with the historical leadership information listed for a unit?||Historical leadership was entered from a variety of sources.
Why do I have to use the person’s membership number?||In order to provide data privacy for the members of the Church, a search by name was not possible. Please search by the membership number.
What are “acting leader” positions, and when are they used in CDOL?||The First Presidency’s Office has instructed MSR Church Organization Services to use acting leader positions only in active units as short-term solutions when a leader is actively being considered.

Permissions
style="background:#f0f0f0;"|Question
style="background:#f0f0f0;"|Answer
How do I give a person access or different rights in the CDOL system?||Access to the CDOL system is largely determined by the position that an individual occupies in the system. As an individual’s position in the system changes, it will automatically grant or remove access privileges. As a new person is assigned to a position, the correct CDOL rights are automatically granted.

There are also some rights that are assigned to individuals.
Why can’t I update directory information for missions?||The Missionary Department is the data steward for missions and has the responsibility to edit and maintain all mission information. Any requests for changes related to missions should be brought to the attention of the Missionary Department at Church headquarters.
One of my personal directories disappeared. Why?||Your rights have changed and you no longer have access to view that information.
Why can’t I add a bishop or stake presidency counselor to a ward or stake?||Approval for bishops and stake presidency counselors is granted by the First Presidency. If you try to put in an individual into one of these callings and they are not listed as approved to serve in that unit, the system will prevent the data entry and ask that you contact your Area Office or the Office of the First Presidency to resolve the matter.
How do I assign someone to verification duty?||All verification rights are assigned by headquarters. The local MSR manager submits the names of individuals to Jana H. Nytch (Church Organization Services) at Church headquarters to get the proper rights assigned.

Verifications
style="background:#f0f0f0;"|Question
style="background:#f0f0f0;"|Answer
What does the message “Unpublished Changes” mean on the organization summary screen?||Whenever changes are made to an organization or any of its assignments, staff members verify that the changes are correct and make adjustments as necessary.

What are business rules?||Business rules control publication of data. All required information must be present to publish. This information will be displayed on the edit screens and verification screens to inform the user of needed tasks.

# Church managers and employees worldwide working in position requiring access
See Availability for more specific details.

In general, you can navigate in CDOL the same way you navigate in other Web-based programs. However, when using CDOL, do not use the back or forward buttons in your Web browser. Use the navigation tools provided within CDOL.

CDOL is based on individual Web pages. Each time you click on a link, you move to a new Web page.

CDOL uses an Internet-standard mouse-over to highlight links instead of underlining them on a Web page. As you move the mouse over a link, an action such as a dropdown window opening or a color change occurs.
The Church Directory of Organizations and Leaders (CDOL) contains information about Church organizations and leaders (ecclesiastical and temporal) throughout the world. CDOL benefits General Authorities, Church Headquarters personnel, Area administration personnel, local priesthood leaders, and Church managers and employees worldwide in helping them fulfill their assignments. Based on their assigned rights, CDOL allows authorized users to perform some or all the following tasks related to Church organizations and leaders:

* View organization and leader information such as names, contact information, and dates.
* View the organizational structure of units. For example, a stake would have links to the wards, branches, and any family history centers in the stake, and to larger entities that include the stake, such as areas, welfare regions, temple districts, etc.
* Find contact information for any Church department.
* Create a customized directory.
* Perform searches for organizations or leaders using multiple search criteria.
* Save searches.
* View the current local time for units.
* Print reports with user-defined parameters.
* Access a Unit Locator to find what ward and stake contains a given street address.
* View current unit boundary maps. (Currently for Stake and District positions).
* View people in all standard positions in the leader's ward and stake. Note that this is currently available to bishops and branch presidents, stake and district presidencies and stake and district clerks.

In addition, CDOL administrators and other users with specific rights may perform the following tasks:
* Edit the information in the directory including adding positions and changing and deleting contact information.
* Track and manage all existing organizations and leaders and allow new organizations, organization types, positions, and position types to be viewed and created.

The online Church Directory of Organizations and Leaders (CDOL) provides authorized priesthood leaders and clerks with information on Church units and other organizations within the Church, including contact information for their leaders.

* Create a customized directory
* Perform searches for organizations or leaders using multiple search criteria
* Save searches

To have access, users must be listed in the correct standard position in CDOL and have an LDS Account. People with these callings will be listed in CDOL if they have been added using the appropriate Leader and Unit Change Request form or are properly listed in MLS using the standardized callings.
The following positions have been approved for access:
style="background:#f0f0f0;"|Stake/District
style="background:#f0f0f0;"|Ward/Branch
Stake President||Bishop
Stake Presidency Counselors||Bishopric Counselors
Stake Clerk and Assistant Clerks (if properly specified in MLS using standardized callings)||Ward Clerk
Executive Secretary and Assistant Executive Secretary||Executive Secretary
District President||Branch President
District Presidency Counselors||Branch Presidency Counselors

CDOL <-> MLS processing
; General Process
: Clerk enters or changes position(s) in MLS
: Clerk performs a MLS Send/Receive
: CDOL processes data (usually within 1 hr of receiving, but Sundays may be several hrs)
: For Wards/Branches - CDOL sends the positions to the Stake/District
: For Stakes/Districts - CDOL sends the positions to all the child units.
; Positions which show on the CDOL summary (Stake Clerks, Assistant Stake Clerks, Executive Secretary)
: (All of the General Process applies)
: These are verified by a user at Church Headquarters before the change is shown on the summary page and sent back to units.
; Positions requiring Headquarters approval (Stake Presidency, Bishop)
: (All of the Positions which show on the CDOL summary applies)
: CDOL ensures that the correct approval has been granted before allowing verification
: For new Stake Presidents this means confirming with the paperwork returned by the visiting General Authority.
: These position changes are done from the Stake’s MLS through the Leader and Unit Change Request

Known Issues
The following known issues may affect some CDOL users:

General Users
Searches
*Users viewing the Public Searches are able to edit them and save their changes to the Public Search they are viewing making it so others will see their search the next time it is run.
*Share search link on search results throws error.
*If a user had saved an Advanced Search that uses the "Active as of" date field, the user needs to edit the search and re-save it in order to resolve a problem that caused the search to query correctly only the first time it was run.
*The Materials Languages pick list in Advanced Search under Organization Language does not display all the language choices that are in the database for units with populated material language.

Browsers
*In Internet Explorer, Advanced Search selections are not placed to the right of the box.
*In Internet Explorer 7, trying to save or load a page often gets stuck.
*In Internet Explorer 8, the calendar link doesn't open on Organization Edit|History|Add Note.
*In Safari 4, expanding a position on the Organization summary page superimposes text rather than moving it down.

Export
*Discontinued and private organizations don't get included in the export when the user has rights to see them.

Other
*Sometimes the published version of a record is missing.
*The order of the address types listed on the Organization and Leader Summary pages is not standardized.
*Cannot copy e-mail list addresses to the clipboard.
*Characters with diacritics sort after other characters in search results.
*Printed directories do not show the full name of a leader.
*Local names do not print on directories when they are selected.
*Local names are not displayed in Printed Directories when they are selected.
*A three-level Printed Directory is not displayed correctly.
*Using "Clear Address" button does not reset the Country field on the Organization Edit|Address and Leader Edit|Address.
*Some position type names don't fit well on the Organization Summary|Show All Positions page.

Administrative Users
Letters and Certificates
*CDOL letters have a problem processing through e-mail.
*Certificates and Letters do not clear out off the "to be printed" list once they have been processed.

Proposals
*Proposal Mission template does not add new unit number in footer.
*Cannot edit Proposal Note, always get kicked out to the HTML home page.
*Implementations from Proposals do not update legacy names.
*On the proposal dashboard, after you perform an action, the checkboxes show as unselected, but additional actions affect the originally selected proposals also.
**The workaround for this is to click on the Proposals tab to reload the page.

Verifications
*Discrepancy between the release date appearing in Verification for a leader sent from MLS as opposed to the assignment record for the leader.
*Discontinue a unit with a future effective date puts the unit in a partial published state and never updates the status or sends the unit to verification.
*The number of items awaiting verification changes randomly.
*Units that don’t have changes (such as the parent unit when changes are to a child unit) show up in Verification.

Other
*Cannot add scope to LOCATION role types when assigning these types of roles to users.
*Some leaders are randomly set to sensitive status.
*Units that are in a country that has the CDOL attribute Sensitive set to true for the country do not inherit the sensitivity.

New Features and Changes
Export Files
When exporting search results (or temple exports - requires rights) to Excel, CDOL now generates these files faster by using a stored copy (refreshed nightly) of the data.
Letters and Certificates
Pending batch letters and certificates lists are now generated nightly, and selected ones can be printed from the results page.
Other
*Added highlighting to the currently selected field.
*Added a link to the release notes in the footer.
*Added loading indicators to the advanced search page.
Language Support
Updated the new text added in recent releases for several languages.

Resolved Issues
The following issues have been resolved with this release:

Browsers
*Resolved Firefox 3.5 issue with the Classification functionality being cutoff on the Organization Edit|General tab.
*Resolved issues logging in with the Chrome or Safari 4 browsers.

Organization Summary Page Style
*Changed Expand/Collapse All to not just toggle all. If some sections are expanded then the rest will expand.
*Clicking on links no longer triggers an expand/collapse on that section while waiting to load the new page.
*Changed the expand/collapse trigger area for the positions section to be just icon/assignment type/primary contact. Previously, it was triggering if you clicked on any of the contact information.

CDOL <-> MLS Processing
*MLS files are now generated automatically for brand new units activated via the Boundary and Leadership Change process in CDOL.

Export Files
*Fixed Export to File and Export for Mailing Labels from a Position Type search returning the first name in the list for each position in the organization.
*Fixed carriage return showing as strange character in Export for mailing labels file when merged with Word.

Letters and Certificates
*Batch certificates and letters now print.

Other
*CDOL local name is now not populated if it is a duplicate of Latin name.
*Improved the user interface for The Copy From routine (edit addresses or phones).

Administrative Users
*Proposal or Admin users can now reorder "Display Order" units in proposal.
*Tier 2 positions with release dates won't show in verification.

Petersenga: Break out general user and administrative user issues

To be released on 14 Dec 2009
Applicable Version
CDOL Version: 2.3.2.<br/>Address: https://cdol.lds.org

New Features and Changes
Organization Summary Page Style
Organization summary pages were modified to use expand/collapse sections in order to improve application performance by reducing the amount of data initially loaded.
Member Localized Name Functionality
CDOL now adds the localized names of a member if the names exist in the Church Membership Information System (CMIS). Additional improvements to name usage will be made in a future CDOL release.
LUCR Unit Change Information Support
With the preceding CDOL release, stake and district leaders were able to submit changes to local unit leaders electronically using the Local Unit Change Request (LUCR) functionality. This process replaced the previous paper-only Information Change Request process. With this release CDOL now supports the "Unit Information Change" portion of the process. This portion allows leaders to make changes to the property address, spoken and material languages, currency, and building telephone numbers. Additional changes will be made to MLS to add the corresponding functionality into the LUCR process.
Metadata Synchronization Support
With this release CDOL now supports the exchange of position and organization metadata information with MLS. This means that if a new position is added in CDOL for local units the information about the position can be synchronized with MLS. Additional changes will be made to MLS to add the corresponding functionality.
Meeting Times Process Change
Previously, the meeting time files sent from MLS units were a separate file from the MLS position data file. With this release, the meeting time information is included in the MLS position data. This simplifies the process and makes it easier to troubleshoot problems. MLS is adding corresponding functionality to be included in a before-year-end release.
Omniture Web Analytics Support
CDOL Web analytics are now tracked via Omniture.
Language Support
*With this release the following languages will be added:
**Russian
**Serbian (Cyrillic)
**Estonian
**Lithuanian
**Romanian
**Slovenian
**Mongolian
**Slovak

Resolved Issues
The following issues have been resolved with this release:

Searches
*Search created by a user and then exported to file now includes phone numbers listed in CDOL.
*Search results export to file no longer gives wrong data for non-active organizations.
*Users can now remove duplicate email addresses from search result email list.
*Saved searches no longer disappear.
*Fixed problem that caused Advanced Searches using the "Active as of" date field to only query correctly the first time. However, old searches using this criteria need to be edited and re-saved in order to fix the problem.

Browsers
*Resolved some issues preventing parts of CDOL from displaying/working correctly in Internet Explorer 8 or Firefox 3.5.
*In Internet Explorer 7, clicking on a Saved Search now returns the search results.
*Drop-down boxes in the Firefox Web browser now expand to show all items.

CDOL <-> MLS Processing
*MLS position refreshes initiated from CDOL now function correctly.

Other
*Export file no longer contains standard positions submitted from MLS units unless user has rights to view those positions.
*Localized address fields now meet CDOL business rules for completeness by requiring both the country and street 1 addresses to be populated.
*Misleading error message no longer appears when user deletes an assignment.
*Once historical note PDF attachments are published users can now download the PDF.
*CDOL now shows grouped organizations on the local unit Positions Detail Summary page.
*CDOL works correctly after the CMIS 4.8 upgrade.
*Fixed the map viewer role so assigned users and positions can see the local unit map link.

Administrative Users
*Administrators can now change the display order for new position types before they are saved.
*Events in Proposals|Organizations tab that have text fields now show cursor.
*When implementing a proposal with many events the "loading" notification modal now scrolls with the page.
*Database error no longer occurs when a unit is included in a proposal that already has an organization note existing for it.
*Resolved issue where fixing addresses from Verification did not send the user back to Verification but caused the application to freeze.

Unresolved Issues
The following known issues may affect some CDOL users:

General Users
Searches
*Users viewing the Public Searches are able to edit them and save their changes to the Public Search they are viewing making it so others will see their search the next time it is run.
*Share search link on search results throws error.
*If a user had saved an Advanced Search that uses the "Active as of" date field, the user needs to edit the search and re-save it in order to complete resolve a problem which caused the search to only query correctly the first time it was ran.
*The Materials Languages pick list in Advanced Search under Organization Language does not display all the language choices that are in the database for units with populated material language.

Browsers
*This release is incompatible with the Chrome or Safari 4 browsers.
*In Firefox 3.5, the Classification functionality is cutoff on the Organization Edit|General tab. It is still usable.
*In Internet Explorer, Advanced Search selections are not placed to the right of the box.
*In Internet Explorer 7, trying to save or load a page often gets stuck.
*In Internet Explorer 7, the existing address does not appear in view mode under Organization Edit|Address and Leader Edit|Address.

CDOL <-> MLS Processing
*MLS files aren't automatically being generated for brand new units activated via the Boundary and Leadership Change process in CDOL.

Other
*Cannot add scope to LOCATION role types when assigning these types of roles to users.
*The Copy From routine has been changed to fix a problem. However, the user interface is confusing. An improved user interface will be released in the CDOL 2.3.2.1 patch.
*Expand All/Collapse All functionality on the organization summary page only performs the opposite action of the current expand/collapse state. This means that any section that is currently expanded will be collapsed and any section that is currently collapsed will be expanded.
*Sometimes the published version of a record is missing.
*The order of the address types listed on the Organization and Leader Summary pages is not standardized.
*CDOL local name is populated as a duplicate of Latin name. Will be resolved in CDOL 2.3.2.1 patch.

Administrative Users
Letters and Certificates
*CDOL letters have a problem processing through email.
*Certificates and Letters do not clear out off the "to be printed" list once they have been processed.
*Batch Process for certificates is not working.

Proposals
*Proposal document is lost if the following steps occur:
#Create a proposal and give it a document.
#On the proposal dashboard select that proposal and at least one other proposal to create a new agenda (the other proposal must not have a document).
#Create the agenda.
#Enter and edit the proposal.
*If there is at least one other proposal with a document on it in the proposals you used to create the new agenda your document will not be lost.
*Proposal Mission template does not add new unit number in footer.
*Cannot edit Proposal Note, always get kicked out to the HTML home page.
*Implementations from Proposals do not update legacy names.

Other
*Some leaders are randomly set to sensitive status.
*Units that are in a country that has the CDOL attribute Sensitive set to true for the country do not inherit the sensitivity.

Petersenga: Edited document to align it with other CDOL Release Notes

Other
*Export file no longer contains standard positions submitted from MLS units unless user has rights to view those positions.
*Localized address fields now meet CDOL business rules for completeness by requiring both the country and street 1 addresses to be populated.
*Administrators can now change the display order for new position types before they are saved.
*Events in Proposals|Organizations tab that have text fields now show cursor.
*Database error no longer occurs when a unit is included in a proposal that already has an organization note existing for it.
*Shows grouped organizations on the local unit Positions Detail Summary page.
*MLS position refreshes initiated from CDOL now function correctly.
*CDOL works correctly after the CMIS 4.8 upgrade.
*Resolved issue where fixing addresses from Verification did not send the user back to Verification but caused the application to freeze.
*Fixed the map viewer role so assigned users and positions can see the local unit map link.
*When implementing a proposal with many events the "loading" notification modal now scrolls with the page.

Official Communications are sent by mail to stake presidents, and usually also to bishops. Wards and stakes should file printed copies of these letters. Electronic versions are sent to stake presidents via an official e-mail account and are also available in an online repository. Some selected letters are made public on lds.org or the LDS Church News. Occasionally e-mail will be sent to stake clerks or stake technology specialists.

ldsmail.net E-Mail account
Each stake is issued an official e-mail account at www.ldsmail.net, which only the stake president may access. The login for the account is the stake's unit number, but it is not accessible until the account has been activated for use with ldsmail.net.

To activate the stake president's account, call church headquarters and ask for the LDS leader e-mail. They will confirm your stake data and send an initial password key to your stake president by regular mail. Using the password key you can login and access the ldsmail account.

Official letters will be sent to the e-mail account. Other messages may also be sent to the stake's e-mail address by general authorities, area authorities, mission presidents, temple presidents, regional welfare personnel, and other stake presidents.

Online Official Communication Library
An official repository of communications is stored at apps.lds.org/letters. The login name is the stake's unit number, and the password is the same as the ldsmail.net password.

As communications become out of date, they are removed from the repository. The repository is better viewed in Internet Explorer than Firefox (it does not sort and display properly in Firefox). If a document appears blank, try reinstalling Adobe Acrobat Reader.

LDS Church News
The LDS Church News will occasionally publish those letters that the Church chooses to make public. These are collected on a web page titled First Presidency Letters.

E-Mail Sent to Clerks
Sometimes the Church will send notifications of new MLS software versions or other pertinent information to stake clerks or stake technology specialists. People with those callings can insure that they get the necessary e-mail by:
* Making sure that their preferred e-mail address is correctly specified in their user profile of the Local Unit Website;
* Making sure that the leadership directory of the local unit website has them listed in the appropriate callings

All too frequently record keepers learn their responsibilities through a haphazard process of on-the-job trial and error. Below are checklists to ensure that members with record-keeping responsibilities are properly oriented, trained (even "certified", if you like), as qualified to perform their callings well.

The clerk wiki is a valuable resource packed with information, but a newly called clerk needs a guide (a simple lesson plan, really) to navigate the content, moving from basic to more complex concepts, in an order that makes sense. The checklists below could follow the order found in the designs of the record-keeping and auditing training on lds.org, but this is not a requirement.

Each item in the checklist should be brief. Do not try to explain policies and procedures here. Simply link from an item in the checklist to the explanation in an appropriate content source (another wiki page, an online lesson, a notice, or some other document). If the explanation isn't available, start a new page for it. As these checklists grow we can create individual pages for each.
Each person with any kind of record-keeping responsibility also has an individual responsibility to obtain any training needed.

Responsibilities
Stake Clerk
The stake clerk is responsible to:
* Coordinate training for those involved in record keeping throughout the stake, including assistant stake clerks; ward clerks from each ward; assistant ward clerks from each ward; and quorum, group, and auxiliary secretaries from each ward.
* Use the online lessons for training in the stake.
* Give clerks an opportunity to discuss the lessons with himself or one of his assistants and ask any questions they may have.
Record-keeping training in a stake is most successful if the stake clerk leads the training process and follows up to make sure training is accomplished.

Training sessions should be held:
* When a new ward clerk or assistant stake clerk is called. Training should be completed no later than 30 days after the new clerk is called.
* When a new record-keeping program is introduced.
* When a clerk asks for help.
* When a financial or membership audit indicates that there is a problem.

The training should include clear instructions explaining:
* The responsibilities of the ward clerk or assistant stake clerk.
* Church record-keeping policies and procedures.
* The confidentiality of records.
* How to use the Member and Leader Services (MLS) software.

As this training is accomplished, it will provide knowledge, direction, and motivation to those involved with stake and ward record keeping. Training sessions should also help clerks understand the value and importance of their work.

Ward Clerk
The ward clerk is responsible to:
* Provide supervision, direction, support and backup to assistant ward clerks and quorum/auxiliary secretaries.
* Make sure assistant ward clerks and quorum/auxiliary secretaries are fully trained.
* Train bishopric members to understand their responsibilities for record keeping on request.
* Request help with training from former clerks and secretaries, upon approval of the bishop.
* Contact stake clerks as needed for assistance with training.

Training should be held when:
* A new assistant clerk or secretary is called. Training should be completed no later than 30 days after the new clerk or secretary is called.
* New record-keeping software is introduced.
* A current secretary or clerk asks for help.
* A quorum or auxiliary leader asks for help for a secretary under their direction.
* Record keeping challenges are noted by a leader, ward clerk, or stake auditor.

Training should include clear instruction explaining:
* Responsibilities of secretary or clerk
* Church record-keeping policies and procedures
* Time lines and procedures for compiling and preparing reports
* Procedures for accomplishing necessary tasks
* Confidentiality of records
* MLS software training

Online Training
Record-Keeping and Auditing Training is provided by Church HQ and is the best source of training new leaders. It can be accessed in two ways:
* On lds.org, under Serving in the Church, Melchizedek Priesthood, Record-Keeping and Auditing Training
* On clerk.lds.org, Training link

Downloading the Lessons
The lessons may be downloaded from the above location; they may also be downloaded in a wide variety of languages from mls.lds.org. Beginning with MLS 2.6, the downloaded lessons are to be installed with MLS, and they are accessible from the Help menu of MLS. They may be installed in multiple languages, and the language MLS is running in will determine which language version of the training will be run from the Help menu.

The lessons may also be downloaded by anyone interested in taking the lessons offline, and for use in group or individual training sessions.

Using the Online Training
The lessons are in Flash format. The index page (both online and in downloaded format) contains a link that allows you to download the Flash viewer if it is not already installed on the computer.

The lessons contain navigational aids that can help you as you view the lesson. The menu at the right of the lesson allows you to:
* Pause/Play
* Move to the Previous/Next screen
* Control the volume of the audio (or mute)
* Expand the menu for further options

With the menu expanded, you will see new options:
* Controls along the bottom of the lesson screen that serve the same functions as the mini menu described above, as well as a slider to move you to any point within a particular screen
* A three-tabbed control at the right labeled:
** Thumb: Thumbnails for each screen so that you can quickly move to any particular screen in the lesson
** Notes: The complete narration of the current screen. This is useful if you cannot listen to the audio portion of the lessons (your computer has no speakers, or others in the area would be distracted by the audio), or if you want to copy some of the text to another application for training purposes.
** Search: A text search to help you find text anywhere within the lesson. A search results list will display links to each screen that has matching text.

Printing the Online Training
In addition to viewing lessons online, you can print a lesson summary of each lesson (from a PDF format). The printed summaries are available:
* (English lessons only) from a link to the lesson summary on the Record-Keeping and Auditing Training page on lds.org (updated in November 2008 and includes the year the lesson was last updated).
* (Non-English lessons only) near the end of each lesson (generally the next to last screen). A print icon may be displayed at the bottom right of the screen next to the Continue button. Occasionally the lesson will mention that information from the lesson can be printed, but often the print button appears with no comment, or it may not appear at all.
* from the main index page of the downloaded version of the lessons. A PDF link is found immediately to the right of the link to each lesson.

Resources
* Record-Keeping and Auditing Training.
* A showing which of the online training lessons are to be taken for each calling, and tracking the completion of those lessons.

Thousands of ordinances are performed weekly throughout the Church. These ordinances are to be performed by priesthood holders who have been properly ordained and properly authorized by one who has the keys to authorize the ordinance under the direction of the prophet. Therefore, a priesthood authority line traces a priesthood holder's authority from the person ordaining him back to the Lord (D&C 42:11).
The line of authority is traced through the office held at the time of the ordination:

<blockquote>If a priesthood bearer desires to trace his own line of authority, he should pursue his current office in the priesthood &mdash; not former offices. Bishops and patriarchs should trace their line of authority as high priests. In completing an authority line, each step should go back through the office held by the person at the time he performed the ordination. It is not appropriate to trace the line of authority in cases of setting apart or for other ordinances.</blockquote>

How to Request a copy of a Priesthood Line of Authority
Methods of Contacting
Contact Member and Statistical Records at CHQ in one of the following ways:

* Email: [mailto:lineofauthority@ldschurch.org lineofauthority@ldschurch.org] with PLA in the subject line. In return you'll receive a form to fill out and return (this is an automated reply to any message that contains "PLA" in the subject line).

* Phone: 800-453-3860 ext 23500 then choose option 6, then option 3. After the message and tone leave a voice mail message with your fax number or mailing address. The form will be mailed to you.

* Phone: 800-453-3860 ext 23500 then choose option 6, then option 2. After being on hold (potentially for a considerable time), tell the attendant that you'd like a copy of your priesthood line of authority. They'll mail it to you.

Helpful Information
Be prepared with as much of the following information as possible (your ward clerk MAY be able to help you with some of this information):

# Full name of the priesthood holder
# Date of birth
# Current ward and stake
