Duplicated reimbursements - can they be reversed?

Duplicated reimbursements - can they be reversed?

We found that we had approved a reimbursement that was in the system multiple times. Is there a way to reverse the duplicate reimbursement EFT's so the member only receives the reimbursement once?

Find each expense in LCR in the Finance > Expenses > Expenses Summary page. Click on the reference number for each. If the status is still Issued and if there is a cancel button (or void) on either one, then you can use that to cancel one of them. Otherwise you will have to ask the member to write a check to return the duplicate reimbursement and deposit it back into the budget category it came from.

We had the same issue with duplicate EFT reimbursements. Does the member make a payment as if they were paying fast/tithing? I wasn’t sure if they had an option to pay the budget category directly. We want to avoid any issues with an upcoming audit!

They have to go back to gray envelopes handed to a member of the bishopric. It can't be done on-line.

Just make sure to include a note with the deposit paperwork (either on the donation slip or attached to it) indicating that it's a return of overpayment. Including the transaction number or numbers for the original expense(s) is a good idea too. With that you should be safe for the audit.

This does not seem like a very good system for handling such errors. Consider the following scenario.

1. Member claims an expense for some amount.
2. Someone in leadership double files the expense, or makes an error say adding an extra 0 to the claim.
3. Tired Bishop or other leader fails due diligence and approves the expense.
4. Someone realizes the error and and the member reimburses the church through a charitable donation.
5. Church is out no money.
6. Member is out no money.
7. In a country where the church is a recognized charity the member now gets to claim their reimbursement as a write-off for income tax purposes. If the amount was large this could be a significant amount of money.

If this is the proper way to reimburse such errors, the donation system should allow for a special 'non-donation' style payment that does not count towards the members charitable donations.

"Donations" to Budget are not included in the year-end tax report. This has been the way to return excess funds for decades.
