Privacy Concerns with use of Google mail and drive

I am our stake executive secretary. I have just learned how extensively Google parses and stores information from Gmail and docs stored on Google Drive. Data found within mail and docs is stored associating names with information found. These databases and some of this information is primarily sold to other companies for marketing purposes. However, the fact that the whole of the parsed data and accompanying associations exist in databases is troubling. Our stake and many of our wards use Gmail, Google docs, and Google Drive to store documents and emails that contain confidential information. Does anyone know of any church guidelines or policy for use of "free" services like Google and Yahoo mail and storage? I don't think that we are the only stake using these services. Thanks!
