Clerk Checklist for Unit Changes (Relocation or Discontinuation)

Post by CMcConnehey »

Is there a checklist somewhere for clerks that gives a list of things that need to be considered if a unit moves to a new location or is discontinued or dissolved?

I'm trying to put together a list of items to consider but I'm sure items will be overlooked so looking to the forum for support. This would be anything from collecting hard keys to reprogramming FOBs, shredding old check stock, what records are saved vs shredded, moving calendar events from one location to another, etc.

Has someone already started something like this which I might be able to leverage? Thanks in advance!

For dissoving:
I'd say that any records that need to be retained (financial) needs to be turned over to the stake. They will be handing any "loose ends" such as Tax Statements.

I don't think there's any requirements on the membership side aside from the bishop briefing the new bishop of any situations that he's currently handling.

I'm sure all the calendar events will be erased, but I'm not sure how timely that would be. It might not be the worst idea if the clerk deleted everything to free up the building sooner.

For a discontinued unit, try the Discontinued Ward Instructions. It has the advantage of being official and, in my experience, is fairly complete. Key/FOBs would be handled as they normally would when a person is released from a calling.
