Clerk Computer Asset Manager

Summary

The Clerk Computer Asset Manager (CCAM) is a website (ccam.churchofjesuschrist.org) designed to help local units and Church headquarters keep an accurate inventory of clerk computers. The site also encourages local units to enroll computers that have not been enrolled. Enrolled computers help protect the Church and its members’ information from misuse.

Usage

Any stake or district clerk, assistant stake clerk or stake technology specialist can access the site to view and update information for units in their stake or district. Access to the site requires authentication using a Church account.

List of Units and Last Sync

A list of units appears on the left side of the screen (top of screen for mobile devices) when the site first loads. Select a unit by clicking on the name of the unit.

The data is updated daily. The data will be current as of the date and time in the “Last Sync” box[DK1] [PS2] . It may take a couple of weeks for a newly enrolled computer to appear.

A list of computers assigned to the selected unit according to the Church’s inventory will appear on the right side of the screen or below the list of units on mobile devices.

Serial number

Unique value assigned by the manufacturer

Model

The model of the computer.

Operating System

The current operating system of the computer

Assigned

The date the computer was assigned to the unit.

Last Check in

Computers that are enrolled correctly check in with systems at Church headquarters. This is a good indication of the last time the computer was used. If the computer is being used but has not checked in for more than a month, it probably isn’t enrolled correctly or is not left on long enough to check in with headquarters.

Current Status

Status is assigned by the stake or district. Select a row to edit the status of a computer. This will open the Update Status screen

The update status screen is used by the stake or district to set the status of the selected computer.

In addition to the details from the previous page, this section will include the BitLocker key if the computer has full disk encryption.

Current Status

This section is used by the stake and district to set the status of the computer. If the status has not been set, the status will say ‘Please Update’.

In Use by the Assigned Unit

The computer is being used by the assigned unit. No action is necessary.

Returned to Facility Management Office

Use this status if the computer was picked up by the facility manager or shipped to them. Record the date when the computer was shipped to or picked up by the facilities management office in the notes section.

Not in Use

Select this status if you have possession of the computer but are not currently using it. If it is a Windows computer, erase the hard drive by following the instructions found at this link. Then, contact your facilities management office for disposal instructions.

Repurposed

Use this status if the computer is still in the possession of a Church organization but is not being used by the unit clerk. Describe how and when the computer was repurposed in the notes section. If it was repurposed for a Family Search Center or another unit, please provide the name and unit number of the FSC or unit.

Donated

Select this status if the computer has been donated to a person or a non-church entity. Provide information about when the computer was donated, as well as details about the person or group who received it in the notes section.

Other

Use this status only if none of the others apply. Provide as much detail as possible including relevant dates, organizations, and individuals in the notes section.

In use by unit, but not in inventory

Computers are added to this section by a stake clerk or technology specialist. These are computers that are in use but not in the Assigned (Enrolled) section above. These computers have not been enrolled. These computers will be moved to the assigned section once they have been properly enrolled.

Instructions to enroll a Windows computer or Chromebook are shown.

If the serial number needs to be changed or just removed, click the Remove button to the right and confirm your decision.

Once a computer has been properly enrolled it will appear in the Assigned box and disappear from the Not in Inventory box the next time the data is updated.
