Pre Stake Conference Letter for STS
This letter outlines a step-by-step process to help Stake Technology Specialists (STSs) effectively prepare for upcoming Stake Conferences and ensure all necessary support resources are in place. It is distributed four weeks and again two weeks prior to the scheduled conference to provide timely reminders and assistance.
Dear Technology Specialist,
Your stake conference [with a General Authority] is scheduled for [four][two] weeks from now. If you need to broadcast the
conference meetings to other locations, we are here to support you. An engineer from the Video Event Services Team at
Church headquarters can assist you with your broadcast preparations.
Here are some tips to help you prepare for your conference:
Step 1 If virtual meeting technology is needed, the technology specialist should use the webinar feature in the Church-
provided Zoom account to schedule the stake conference broadcast(s). For virtual attendance exceeding 500 participants,
the webinar can be set up to redirect overflow attendees to a YouTube livestream. Click here for details.
Step 2 If the stake doesn’t have a Church-provided Zoom account, the stake’s technology specialist can acquire one by
following these steps:
- Go to Meet.ChurchofJesusChrist.org.
- Select Manage under Local Units.
- Under Add License, select the unit for which you want to create a Zoom account and enter the email address.
- Click on Request License.
- An activation email will be sent to finalize the Zoom account setup.
Step 3 The technology specialist should make broadcasts available to stake members through Gospel Stream and
Broadcasts.ChurchofJesusChrist.org. Instructions can be found here. If the stake presidency wishes to limit the broadcast
audience, keep the Publish toggle off in Meet.ChurchofJesusChrist.org and share the event code with approved individuals.
Viewers can enter the event code at Broadcasts.ChurchofJesusChrist.org to watch the conference.
Step 4 The technology specialist should assist with the set up and test all local meeting equipment. Additionally, the specialist
should assist leaders with the equipment as they start meetings.
Step 5 The technology specialist should consult the Virtual Meetings Wiki for further self-support on broadcasting your
conference.
Step 6 Coordinate with your facilities manager if the internet bandwidth in your stake center or receiving locations needs
upgrading for the conference, if A/V repairs are required, or for any other facility needs.
Step 7 For further assistance in preparing for your upcoming conference, please reach out to the Global Services Department.
